Boiler Room Board Meeting
February 11, 2008

Present:
Board Members:  Marc, Amy, Julia, Bruce, Thais, Cory, Catska, Steve, Terri
Manager:  Jason
Volunteer: Tiara
Guest:  Dennis Daneau
Board Members not present:  Maitland, Gigi

Approval of January minutes tabled pending distribution

FINANCE:
Attempting to figure out the cost of hiring a grant writer
Jan-Dec 2007 total donations= $85,557.39
Jan 2008 income total= $10,918
$5000 Ormsby Hill Trust came in
Kees Kolff needs to see the loan papers to move forward with independent investors
Cory and Michelle Sandoval discussing a possible renegotiation of deal with Prays; Michelle previously indicated an inability to do this.  Further research needed.
Sunrise Coffee wants to produce “Boiler Blend”; wants contract stating Boiler Room will continue to purchase coffee exclusively from Sunrise.  Amy encourages BR to ask for a portion of profits, in case people think they are making a donation to the Boiler Room by buying the BR Blend.
Soup bowl fundraiser underway.

Julia moves that the Boiler Room Board acquire a credit card with a $10,000 limit (with Board approval necessary for amounts over $1000.
Catska seconds.
All present in favor.

BUILDING:
Unclogged sewer drain–twice this month
Sign called “contributing” and approved with changes allowed
Back yard/fence discussion tabled

EXPEDITION CLUB:
Checking on options for insurance
Exploring options for vans and carpooling
Official Expedition Club excursions put off until issues are settled

MANAGERS REPORT:
Interns doing very well.  Programs internship will be opening soon.
Chauncey working on creating new partnerships. 
Jason will be speaking to the people at Community Network about the Social Services position.

NEIGHBOR RELATIONS:
Cory proposing cigarette butt receptacles to the City Council
Bruce attending Property Owners Downtown Main Street Committee meetings
Looking for old house rules sign from the Uptown Boiler Room
Own our own permit number for bulk mailings
Jason overheard somebody asking, in reference to the Boiler Room:  “Give, give, give…but what do they give back?”  Encouraged the person to fill out a survey.
“Community Upkeep” meeting seem like a good idea for the BR to put on; focus on things besides the Boiler Room; every month; get community response to questions like “what do you do with an intoxicated person (minor/adult) in the Boiler Room?”  Big undertaking; not sure who would run these meetings

ESPRESSO MACHINE:
Dead.  In Olympia, where they are attempting to fix it.
Bruce will retrieve the other machine from Bellingham (it is also non-functional).
Quote on new machine at wholesale price is in the $4000 range.  Installation free?
Terri cautions that we have taxes due soon in an unknown amount.
If we do buy a new machine, we will attempt to sell one or both of the old ones.

Julia motions that if the machine is unable to be fixed, and the Boiler Room is unable to find a free, donated machine by February 21, the Boiler Room accept the offered quote and purchase a new machine and filter system at the wholesale price.  This money will come from the savings account.
Bruce seconds this motion.
All present are in favor, some with reservations.

MISC:
Amy will develop a phone tree for the Board
