Position Overview
As part of the core program group, this position helps assure that The Boiler Room runs smoothly and, as a whole, is a safe, beneficial and constructive service provided for youth and other patrons. The primary focus is general oversight and management required for successful operation of the Business, while maintaining an environment that provides training and mentoring for the growth of the interns and volunteer staff. In addition, the General Manager is responsible for interfacing with the Board of Directors, and for implementing Board policies and decisions.
Essential Job Functions
Program Management & Oversight
- Monitor program implementation and development to assure that programs are meeting and adapting to the needs of clientele, while staying within budgetary guidelines; follow up on new business opportunities
- Be knowledgeable about and able to perform intern functions as needed due to absence
- Assure regulatory (e.g. Health Department), policy and procedural compliance of all programs
- Keep a regular schedule posted of your availability during the week, using remaining time for administrative and on-call duties as needed; be on-call for staff questions and emergencies as they may arise
- Support staff in maintaining a safe and constructive environment, meeting with volunteers and clientele or restricting persons from the premises as appropriate.
Staff Supervision
- Assure that all staff are fully functioning in their roles, providing them with necessary resources and guidance to accomplish this and checking on progress on projects or maintenance of regular duties
- With support and guidance from the Board, hire, train, and conduct performance management for paid staff
- Conduct weekly intern meeting for communication updates and discussion of concerns, questions or issues and participate in monthly Board and weekly staff meetings; elevate issues/information to Board as appropriate
- Assure necessary paperwork is properly completed and turned in by staff (e.g., timesheets, applications, etc.).
Community Relations
- Be a positive role model for youth and act as a good-will ambassador for The Boiler Room as you represent the Agency in the community
- Promote business and fundraising opportunities in the community as they arise
- Attend community meetings as appropriate, return phone calls, and address concerns and questions of local and neighboring businesses
- Run ads with Port Townsend Leader, maintain website, and oversee newsletter and other publications as needed
Administration and Budgeting
- Check supply and food order forms
- Complete deposits a minimum of two times per week and provide spreadsheets for Accounting
- Work with the Board in monitoring the budget and completing variance analysis each month to discuss actions necessary to correct course, augment revenue, or modify expenses on a weekly basis
- Develop a quarterly forecast and plan accordingly to ensure efficient operations
- Direct and participate with the Board, program managers, and volunteers in creating the annual budget, annual audits and tax returns
General Job Functions
- Attend all weekly Intern and Staff meetings and monthly Board meetings
- Complete all paperwork, forms and submission of receipts on time and accurately
- Assist with implementation and adherence to all Boiler Room policies and protocols
- Assist with maintaining general cleanliness and orderliness of facility as a whole
- Offer creative and innovative suggestions for growth and for solutions to problems as they arise
- Act as integral part of team in creating and maintaining a fun, healthy, and safe environment
- Volunteer for shifts and participate in activities of The Boiler Room as schedule permits
- Assist with finding volunteers and promoting The Boiler Room in the community
Schedule
This position is a full-time exempt position. You will keep the BR staff and board aware of your schedule and in your absence, an appointed Board member will oversee any meetings or key events that may arise.
Requirements
- Passion for working with people and bringing out the best in them as they learn to provide service to customers of The Boiler Room
- Passion for and desire to be a part of a mission that fosters youth involvement in the community in a healthy and productive way
- Demonstrated skills or aptitude for supervising and leading 2 Americorps positions plus 2-3 internships; previous experience in a related business strongly preferred
- Demonstrated ability to lead or support fund raising for a non-profit organization; experience with youth-oriented organization preferred
- Experience with financial budgeting and management
- Good communication skills (written and verbal); good interpersonal skills and ability to interact with community, staff, and volunteers responsibly and respectfully
- Basic math and computer (Excel/Word/E-mail/Internet) skills
- Knowledge of website maintenance
